1. Agreement to Terms

By accessing or using MeetMatch (the "Service"), operated by MeetMatch ("we," "our," or "us"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service.

These Terms apply to all visitors, users, and others who access or use the Service, including organizations and their team members.

2. Description of Service

MeetMatch is an AI-powered meeting scheduling and sales routing platform. The Service allows organizations to:

  • Create intake questionnaires for prospects
  • Automatically match prospects with the best-fit salesperson using machine learning
  • Schedule meetings with real-time calendar availability
  • Send automated email and SMS confirmations and reminders
  • Integrate with third-party calendar, CRM, and video conferencing tools
  • Analyze meeting outcomes and optimize sales team performance

3. Accounts

You must create an account to use the Service. You are responsible for maintaining the security of your account and for all activities that occur under your account.

You must provide accurate and complete information when creating your account. You agree to promptly update your information if it changes.

Organization administrators are responsible for managing team member access and ensuring that all users within their organization comply with these Terms.

4. Acceptable Use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of any applicable laws
  • Send spam, unsolicited messages, or misleading content through the Service
  • Attempt to gain unauthorized access to the Service or its related systems
  • Interfere with or disrupt the Service or servers or networks connected to it
  • Reverse engineer, decompile, or disassemble any part of the Service
  • Use the Service to collect personal data without proper consent
  • Resell or redistribute the Service without our written permission
  • Use automated tools to scrape, crawl, or extract data from the Service beyond normal API usage

5. Prospect Data and Consent

When you use MeetMatch to collect information from prospects (people booking meetings), you are responsible for:

  • Ensuring you have a lawful basis to collect and process prospect data
  • Providing appropriate notice to prospects about how their data will be used
  • Complying with applicable data protection laws (including GDPR, CCPA, and CASL where applicable)
  • Obtaining consent for SMS communications where required by law

We process prospect data on your behalf as a data processor. You remain the data controller for prospect data collected through your questionnaires.

6. Third-Party Integrations

The Service integrates with third-party platforms including Google Calendar, Microsoft Outlook/Teams, Zoom, Webex, Calendly, HubSpot, and Stripe. Your use of these integrations is subject to the respective third party's terms of service and privacy policy.

We are not responsible for the availability, accuracy, or functionality of third-party services. You authorize us to access and use your third-party account data as necessary to provide the Service.

7. Subscription and Billing

MeetMatch offers free and paid subscription plans. Paid plans are billed monthly or annually as selected at the time of purchase.

  • Payments are processed securely through Stripe
  • Subscriptions renew automatically unless cancelled before the renewal date
  • You may cancel your subscription at any time through the dashboard billing settings
  • Refunds are handled on a case-by-case basis; contact us within 14 days of a charge for consideration
  • We reserve the right to change pricing with 30 days' notice

8. Intellectual Property

The Service, including its design, code, features, and content, is owned by MeetMatch and protected by intellectual property laws. You may not copy, modify, or distribute any part of the Service without our written consent.

You retain ownership of all data you upload to or create within the Service, including questionnaire configurations, prospect data, and meeting outcomes.

9. Machine Learning and AI

MeetMatch uses machine learning to match prospects with salespeople. By using the Service, you acknowledge that:

  • ML models are trained exclusively on your organization's data and are not shared with other organizations
  • AI matching recommendations are suggestions — you retain full control over how meetings are assigned
  • Model accuracy improves over time as more outcome data is recorded
  • We use third-party AI services (OpenAI) for text embedding generation; questionnaire responses are processed as anonymized text

10. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted access to the Service. We may perform maintenance, updates, or experience outages that temporarily affect availability.

We reserve the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice.

11. Limitation of Liability

To the maximum extent permitted by law, MeetMatch shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of revenue, profits, data, or business opportunities, arising from your use of the Service.

Our total liability for any claims arising from or related to the Service shall not exceed the amount you paid us in the twelve (12) months preceding the claim.

12. Indemnification

You agree to indemnify and hold harmless MeetMatch and its officers, directors, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorney's fees) arising from your use of the Service or your violation of these Terms.

13. Termination

We may suspend or terminate your account at any time for violation of these Terms or for any other reason with reasonable notice. Upon termination, your right to use the Service ceases immediately.

You may delete your account at any time. Upon deletion, we will remove your data in accordance with our Privacy Policy.

14. Changes to Terms

We may update these Terms from time to time. Material changes will be communicated via email or through the Service. Continued use after changes take effect constitutes acceptance of the new Terms.

15. Governing Law

These Terms are governed by and construed in accordance with the laws of the State of Michigan, United States, without regard to its conflict of law provisions.
