1. Introduction

MeetMatch ("we," "our," or "us") operates the website www.meetmatch.ai and related services (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

By using the Service, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

Information you provide directly:

  • Account information (name, email address)
  • Organization details (company name, team members)
  • Questionnaire configurations and scheduling preferences
  • Availability rules and working hours
  • Meeting outcome data you choose to record

Information from prospects (people booking meetings):

  • Name, email address, and phone number
  • Responses to questionnaire fields (company size, industry, etc.)
  • Selected meeting time slots

Information from third-party integrations:

  • Google Calendar: Calendar events and availability data (to prevent double-booking)
  • Microsoft Outlook/Teams: Calendar events and online meeting links
  • Zoom: Meeting creation and join links
  • Webex: Meeting creation and join links
  • Calendly: Event types, scheduled events, and team member data
  • HubSpot: Contact records, meeting data, and deal outcomes

We only access the minimum data necessary to provide the Service. For calendar integrations, we read availability and create events — we do not access email content, contacts, or other unrelated data.

Automatically collected information:

  • IP address and browser type
  • Pages visited and features used
  • Device information and operating system

3. How We Use Your Information

We use information you provide through MeetMatch for the following purposes:

  • Provide, operate, and maintain the Service
  • Match prospects with the most suitable salesperson using AI/ML models
  • Schedule meetings and send booking confirmations, reminders, and notifications via email and SMS
  • Generate analytics and performance insights for your organization
  • Train machine learning models on your organization's questionnaire and meeting outcome data to improve matching accuracy (your data is never shared with other organizations)
  • Process billing and subscription management
  • Respond to support requests and communicate with you

Google Calendar data — limited use:

Data received from Google APIs is used exclusively to provide the core scheduling functionality of MeetMatch:

  • Reading your calendar's free/busy information to determine your availability and prevent double-booking
  • Creating calendar events when meetings are booked through MeetMatch
  • Identifying your Google account email address for display in your connection settings

Google Calendar data is not used for machine learning model training, analytics, advertising, or any purpose other than providing and improving your scheduling experience within MeetMatch. See Section 9 for our full Google API Services User Data Policy compliance statement.

4. Data Isolation

Each organization's data is logically isolated. Your questionnaire responses, meeting outcomes, ML models, and analytics are never shared with or accessible by other organizations. ML models are trained exclusively on your organization's data.

5. Third-Party Services

We use the following third-party services to operate MeetMatch:

  • Supabase: Database hosting and authentication (data stored in AWS US regions)
  • Vercel: Application hosting and edge delivery
  • Stripe: Payment processing (we do not store credit card numbers)
  • Resend: Transactional email delivery
  • Twilio: SMS notifications
  • OpenAI: Text embeddings for ML matching (questionnaire responses are sent as anonymized text)

Each third-party provider has their own privacy policy governing their handling of your data.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or compliance purposes.

Prospect data (meeting bookings, questionnaire responses) is retained as part of your organization's data and is deleted when the organization account is deleted.

7. Data Security

We implement industry-standard security measures to protect your data, including:

  • Encryption in transit (TLS/HTTPS) and at rest
  • Row-level security policies in our database
  • OAuth 2.0 for all third-party integrations (we never store third-party passwords)
  • Regular security reviews and dependency updates

8. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Opt out of marketing communications
  • Withdraw consent for data processing

9. Google API Services User Data Policy

MeetMatch's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

What Google data we access and why:

MeetMatch requests the following Google scopes:

  • calendar.freebusy — View your calendar's free/busy information to determine your availability and prevent double-booking when prospects select a meeting time.
  • calendar.events — Create calendar events for both you and the prospect when a meeting is booked through MeetMatch.
  • email — Identify which Google account you connected so we can display it in your calendar settings.

These are the only purposes for which MeetMatch accesses your Google data. No other Google data (email content, contacts, Drive, etc.) is accessed.

Limited Use compliance:

MeetMatch strictly complies with Google's Limited Use requirements:

  • Google Calendar data is used only to provide and improve the user-facing scheduling features described above. It is not used for any other purpose.
  • Google user data is not used to train machine learning models, build user profiles, or perform analytics beyond the scheduling functionality.
  • Google user data is not used to serve advertisements, including retargeting, personalized, or interest-based advertising.
  • Google user data is not transferred to third parties except as necessary to (a) provide the scheduling features (e.g., creating a calendar event), (b) comply with applicable law, or (c) as part of a merger, acquisition, or asset sale with prior notice to users.
  • Humans do not read Google user data unless (a) you give explicit affirmative consent, (b) it is necessary for security purposes, (c) it is required to comply with applicable law, or (d) the data is aggregated and anonymized for internal operations.

Revoking access:

You can revoke MeetMatch's access to your Google Calendar data at any time via your Google Account permissions page, or by disconnecting Google Calendar from the MeetMatch Availability settings. Upon revocation, MeetMatch will no longer access your Google Calendar data. Existing calendar events created by MeetMatch will remain on your calendar but no new events will be created.

10. Children's Privacy

The Service is not intended for individuals under the age of 16. We do not knowingly collect personal information from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.
